General Information & Policies
BILLING
Billing is done through an automatic checking account bank draft on the 10th of each month or a credit card draft on the 15th of each month. (NOTE: There can be no changes to your account after the 30th of each month). Please fill out and sign the attached ATS form and include a voided check.
Please call Alex O’Neill at (760) 635-3005 if you have questions about billing only. If you find that you will no longer need to utilize the program, please inform the site supervisor a minimum of two weeks prior to your ending date with written notification.
WHAT SHALL I DO IF MY TEEN IS ABSENT?
Please call their site supervisor at (760) 601-6934 (Aviara Oaks) between 8:00 a.m. and 1:00 p.m. any day that your child will not attend the program. Parents will be notified any day that a teen doesn’t attend and is not marked absent in the school office.
DO I RECEIVE A CREDIT FOR ABSENCES?
We cannot deduct days missed from your fee. When you enroll your child, you are reserving space, time, staffing, and provisions for your teen whether or not they attend. Please notify the Associate Youth Director at (760) 942-9622, ext. 1451 prior to any planned absences such as vacations or medical appointments.
BEHAVIOR POLICY
The Magdalena Ecke Family YMCA reserves the right to suspend or remove from the program any participant whose behavior is a deterrent to the safety and well-being of the others in the program. Documented incident reports will be maintained in the child’s file in cases of disruptive or undesirable behavior. More than three incident reports in one school year may be cause for immediate dismissal from the YMCA program. Whenever possible, parents will be contacted and asked to help before a suspension or program removal may become necessary. There is no refund or credit given for suspension or program termination. All situations are unique and the final decision will be made by the Teen Coordinator.
SIGN OUT POLICY
We require that you sign your child out of our program each day. Please enter the building and sign your child “out;” this is a record of their attendance and
is necessary for accountability. Please put the time and your full name on the sign out sheet. Participants are only allowed to leave with adults that are listed on the authorized pick-up portion of the medical release form. If there are changes that need to be made to this list, please notify the site supervisor in advance and advise the person to bring photo identification with them to the program.
NOTICES TO PARENTS
From time to time, it is necessary to inform you of changes in time, schedules or locations. Help us to keep you informed by checking for parent notices each day when you pick up your teen.
LOST & FOUND
It is very easy for an enormous “lost and found” to accumulate with unmarked clothes or personal items. Please check for missing belongings often; lost and found items will be donated to a local charity every two weeks due to lack of storage space at the school.
LATE PICK UP
Our program ends promptly at 6:00 p.m. A $15 late fee will be charged for the first 15 minutes (or portion thereof) and $1 for each additional minute after 6:15 p.m. For example, if you are seven minutes late you will be charged $15. If you are 25 minutes late you will be charged $25. The fee will be added to your account. If a child is continually picked up late, further action may take place including possible dismissal from the program.
